What TutorFrame does

  • Schedule that repeats

Weekly series and single lessons; change one, or all that follow.

  • Close a lesson in a few taps

Attendance, notes and homework in one step. The charge follows by itself.

  • Your rules, applied

Cancellation and late terms run on their own; a late fee replaces the price, never stacks.

  • Always know who owes what

Record cash and transfers; charges, advances and debts stay in one journal.

  • Exactly the access you grant

Each family and student sees their own view. Grandma gets the calendar, never the amounts.

  • Homework, reports, files

Assign, receive, request changes, report to parents. Your private notes stay yours.

The problem

One practice, kept in five different places

Each tool does its part. None of them knows about the others, so you are the one who keeps them in sync, usually late in the evening.

TutorFrame keeps all of it in one place, and keeps it consistent: a closed lesson becomes a charge, a payment changes what is owed, a cancellation follows your rules.

  • A calendar appThe schedule, without prices or students
  • A messengerReschedules and cancellations, lost between other chats
  • A spreadsheetLessons counted by hand at the end of every month
  • A banking appTransfers that don't say which lessons they cover
  • NotesHomework and what you covered last time

The awkward part

Three conversations you no longer have to start

  • Asking for money

TutorFrame reminds the family for you, and checks the facts first: no reminder goes out for a debt that is already paid or a lesson that was cancelled.

  • Charging for a late cancellation

You set the rules once. The family sees the exact deadline in their own time zone before they cancel. A late fee replaces the lesson price, it is never added on top, and you can waive it for one family with the reason on record.

  • Raising your price

A price change is a proposal with a start date, and it needs the family's acceptance. Lessons that are already confirmed keep their old price, and nothing is recalculated backwards.

That is the first version: your rules, applied automatically. Later the AI manager goes one step further: it writes those messages for you, and sends them with your permission.

For tutors

The working day of a tutor, in one tool

Plan the week on a laptop. Close lessons on your phone between students.

Schedule

A week that repeats, until it doesn't

Weekly series and single lessons, in your time zone and the family's. When something changes, you choose how far the change goes.

  • Change this lesson, this and the following, or all future ones
  • Reschedule without losing the agreed price or the history
  • Plan a vacation and see every lesson it affects

Lessons

Close a lesson in a few taps

Mark who came and how it went. TutorFrame creates the charge from the price you agreed with the family, so there is nothing to type and nothing to remember.

  • Present, late, partial, no-show or excused
  • Lessons you forgot to close stay on your list until you do
  • Mistakes are corrected by a separate action, never silently overwritten

Money

Always know who owes what

Families pay you the way they already do: cash or a bank transfer. You record the payment, and TutorFrame keeps the journal of charges, payments and advances. Nothing is ever overwritten.

  • A clear statement for every family
  • Payment for several lessons ahead becomes an advance and covers the next charges
  • Debt reminders by email, so you don't have to ask

Homework and reports

What was assigned, what came back

Assign homework, receive submissions, ask for changes, accept. Write a report for the parents when it matters. Your own notes stay yours.

  • Every submission keeps its versions
  • Reports have an audience you choose, and revisions
  • Private notes are stored separately and never shown to families

Also in the first version

The details that make it a tool, not a spreadsheet

  • Time zones done right

"Every Wednesday at 18:00" stays at 18:00 through daylight-saving changes, and everyone sees lessons in their own local time.

  • Reminders that check first

By email and inside the app: upcoming lessons, time changes, homework due, new reports. Nothing is sent about a lesson that was cancelled in the meantime.

  • Calendar feed

Subscribe from the calendar app you already use. The feed is personal, can be revoked, and carries no money and no private notes.

  • Numbers and export

Lessons, hours, charged, received, owed, advances, attendance, cancellations. Filter by period and export to CSV.

  • One account, several roles

The same person can be a tutor, a parent and an adult student, without the money or the data ever mixing.

  • A guided start

A short checklist walks you through your services, prices, rules and first students.

What it doesn't do: no payment processing, no video calls, no chat. Money is received outside TutorFrame and recorded in it, and you keep teaching with the tools you like.

Fictional input Two unpublished reports, one unanswered scheduling message, one fictional 40.00 EUR obligation.

Example answer Start with the scheduling reply, then finish the two reports. The example statement still has 40.00 EUR outstanding. Example draft: ‘Hello Nora, the example lesson has 40.00 EUR outstanding. Please check your statement when convenient. Thank you.’ Nothing has been sent.

PrivatePrivate · not sent to the family

Rushes through word problems. Start the next lesson with two of them, slowly.

You see everything about the lesson, including your private note.

Your families and students

They get answers. You get quiet.

Every family gets its own view of your practice. It makes you look organised, and it takes the "when is the lesson?" messages off your phone.

  • Parents find the answers themselves

When the lesson is, what is assigned, what is owed. From a link in your email, on their phone, in a few seconds, instead of a message to you.

  • Students know what to do

Next lesson, homework, your feedback. Made for teenagers and adults, so they actually open it.

  • Exactly the access you grant

Grandma can see the calendar but never the amounts. Seeing money, accepting new terms and managing other people's access are separate switches.

  • Two households, one child

A child can belong to two separate households. Neither side sees the other's payments, and you don't have to be the go-between.

  • Only the people you invite

Families and students join through your invitation. There is no public directory and no way to search for children: an easy thing to tell a careful parent.

Trust

Built for money and for children's data

Closer to a banking app than to a group chat.

  • Nothing is overwritten

Charges, payments and corrections are added to a journal. Every number can be explained, and every change records who made it and why.

  • Access is checked every time

On the screen, in emails, in exports and in the calendar feed. Revoke someone's access, and their feeds and queued emails stop too.

  • Your students stay yours

Another tutor who works with the same child never sees your lessons, your notes or your money.

  • Private files stay private

Homework files are stored privately and open only through short-lived links, after a permission check.

  • Children's data, kept minimal

A child needs no login and no email of their own; a parent follows along for them. Something you can tell every parent on day one.

  • Your data is yours

You can ask for an export, a correction or the deletion of your data. During the beta these requests are handled by hand.

How it works

Three steps to a practice that runs itself a little more

  1. Set up your practice

What you teach, what it costs, per lesson or per hour, and what happens when a lesson is cancelled late.

  2. Invite your families

Add your students, send the invitations, build the weekly schedule.

  3. Teach

Close each lesson when it ends. Reminders, charges, statements and debts follow from that.

Booking and prices

Families book the hours you open, at prices that follow your week

Online booking, slot prices, packages, discounts, your own page and an income forecast are all in the first version.

Self-booking

Families book the hours you open. No more "when are you free?"

You set your working hours, the breaks between lessons, how far ahead and how late someone can book, and a daily limit. A family picks a free slot and sees the price, when to pay and the free-cancellation deadline before they confirm. The lesson lands in your calendar.

  • Two families can never book the same time: whoever confirms second is told it is no longer free
  • A booking never pushes out a lesson that is already confirmed
  • Your vacations, your lessons and the gap you keep between them are taken out automatically

Prices that balance your week

An empty Monday costs less. A packed Friday costs more.

You set the rules: a discount for a day with no lessons, the regular price for a normal day, a higher price once the day gets crowded, and a ceiling. Families see the final price of every free slot before they book.

  • Every number is yours: discounts, thresholds, multipliers, the maximum
  • Different rules for weekdays, single dates or times of day, or switched off completely
  • Prices of free slots follow each booking and cancellation; a confirmed lesson keeps its price
Next free slotBase price 40.00 EUR · example rules
  • Packages and prepaid lessonsBlocks of lessons paid ahead, used one by one.
  • DiscountsFor a family with several children, for one student or for one service.
  • Your public pageYour services, prices and terms, with a request form.
  • Income forecastWhat this month and the next should bring, from the lessons and packages booked.

After the first version

Where TutorFrame goes next

The first version does the daily work well. These come after it, in an order the first tutors will help decide.

  • Online paymentsPaying from the statement instead of by bank transfer.
  • Waiting listWhen a slot frees up, the next family on your list gets the offer.
  • Group lessonsAttendance and price for each participant.
  • Two-way calendar syncGoogle and Outlook, in both directions.
  • MessagesConversations next to the lesson they are about.
  • Reminders in messengersTelegram, WhatsApp and SMS next to email.
  • Several payersOne lesson split between two adults, each with their own statement.
  • Study log and progressStudents log their own work with a timer; goals and progress with evidence, not guesses.

Planned, not promised for a date. None of these are part of the first version.

Questions

Good to know before you join

What will it cost?

TutorFrame is free for everyone while it is in early access. Later it becomes a paid subscription; the price is not set yet. One thing is already decided: TutorFrame never takes a percentage of your lessons, you pay for the software only. The six AI assistants will be separate add-ons, with provisional prices on the AI assistants page.

Does TutorFrame take payments from families?

No. Families keep paying you the way they do now, in cash or by bank transfer. You record the payment, and TutorFrame keeps track of what was charged, what was paid and what is still owed.

How do my families and students get in?

You add a student and send an invitation by email. The parent or the adult student opens the link and sees exactly what you shared with them. Nobody has to find you or sign up on their own.

Does it work on a phone?

Yes. TutorFrame is a web app made for the phone and the laptop equally, in light and dark. There is nothing to install.

Can I hold online lessons inside TutorFrame?

No, there is no built-in video. Keep teaching in person or in the video tool you already use. TutorFrame takes care of everything around the lesson.

Which languages does it support?

The first version is in English.

Can I get my numbers out?

Yes. Completed lessons, hours, charged, received and owed can be filtered by period and exported to CSV.

What if I want to leave?

Your numbers can be exported to CSV, and you can ask for an export or the deletion of your data. The product should keep you because it is useful, not because your data is stuck in it.

When can I start?

Now. Sign up with your email and set up your practice in a minute. Families and students join through their tutor's invitation.
